I'm also an architect with a 20+ person staff, and I've used the Newton
as my primary information tool for years. My setup is similar to what
Michael described in his Wiki entry - it's dependent on having MoreInfo
installed.

The names file is the starting point. I have entries for all
employees, consultants, clients, etc., but also have name cards for
each project (or project phase depending on size). All employees,
consultants, and client team members are linked to the project card.

When I schedule a meeting, I link it to the project card. When I write
a todo, or make a call, I link it to the project name card. Most
importantly, when I take notes or create an outline or sketch, I link
it to the project name card.

I keep the name cards in "all info" view, which allow me to see all the
linked names, notes, meetings, etc. (the whole project history) just by
opening the project card. A quick scroll through your "projects" file
in names gives you a great snapshot.

Wi-fi and Bluetooth (in conjunction with a BT cellphone) have made a
huge difference - I can send transmittals, notes, sketches, etc. from
anywhere (job sites, client meetings, etc.) immediately to staff and
consultants, which has had a huge impact on turnaround time and
efficiency in our office.

Sychronization isn't a big deal for me - I ObEx updated name cards to
my address book periodically, but maintain my schedule on the newton
only.

You need the 2100!
